User Setup and Management

View Users

Click on the β€œAdmin” dropdown menu and select the "Users" tab from the menu bar on the left side of the screen.

Invite New Users

Click the β€œCreate user” button at the top left corner of the β€œUsers” page. You will be navigated to the β€œCreate User for [Your Company]” form. After filling out the new user’s information click β€œSubmit” to complete the form and send the user’s invite or click β€œCancel” to return to the β€œUsers” page.

Remove or Inactivate Users

To remove or inactivate users click on the three dots on the right side of the user's row. A menu will appear giving you the option to inactivate the user or remove the user.

Manage Facility and Safety Settings

View Facilities

Click on the β€œAdmin” dropdown menu and select the "Facilities" tab from the menu bar on the left side of the screen.

Add Facilities

Click on the β€œCreate facility” button and fill out the form that appears. Click the β€œAdd facility” button on the form to save the entry.

Edit and Delete Facilities

To edit a facility click on the three dot menu within the row of the facility you would like to edit on the β€œFacilities” page. To delete a facility click on the three dot menu within the row of the user you would like to delete on the β€œFacilities” page.

Manage Cases

Create a Case

There are two locations to begin creating a case, the first from the main menu bar to the left of the screen, and the second from the "Cases" page to the very right of the "My Cases" header. This will open the "Create Case" window where you will be able to begin filling out a case.

If you would like to create a communications only case, then select "No" for "Book Travel Now?" If you select "Yes" then additional required fields will pop up, along with a general trip itinerary.

After filling out all of the required fields click β€œSave and Submit” to submit the request. If you are not quite ready to submit for proposals, or if you don't have all required fields yet, you can select the "Save" button and this will save your request as a draft that you can return to later to submit.

After submission, cases will appear on the "Cases" page under the "Air Transportation Pending" tab.

Edit and View Details for Active Cases

To edit a case, click on the three dot menu in the upper right corner of the window and from that menu select "Edit Request" button or "View Details" button.

Save Drafts or Cancel a Case

Alternatively you can click β€œSave” to save the case as a draft or β€œCancel” to return to the β€œCases” page. Cases that are saved as drafts can be found on the β€œCases” page under the "Drafts" tab. You can edit the case by clicking the β€œEdit Case” button, you can submit the case by clicking the β€œSubmit for Proposal” button, or you can cancel the case by clicking "Cancel Case”. A confirmation pop-up will appear. Click "confirm" to cancel.

Manage Proposals

View Proposals

When a charter operator has submitted a proposal in response to your transport request and you have accepted the proposal, the case card can be found from the "Cases" page on the Recovery In Progress carousel. Navigate to the three dot menu, select "View Details". To see a list of the proposals submitted for the request, click the three dot menu and select "View Proposals" button on the transport request window.

Accept or Reject Proposals

To view the proposals for a particular case, navigate to the "Air Transportation Pending" tab under the "My Cases" header. Here you will be able to see from the case card how many proposals have been submitted, and how many you are still awaiting based on the number of confirmations of service. Select the "View Proposals" button from the three dot menu within the card to see all submitted proposals. After reviewing the details of the proposals click "Select Proposal" to accept the proposal and begin the trip. Cases with accepted proposals can be found on the "Cases" page within the "Recovery In Progress" carousel.

Adding Passengers/Participants

You can add passengers and participants from the "Cases" page in the three dot menu in the upper right corner, or from the detailed view of a case from the "Add" button on the "Support Team and Passengers" dropdown header. A passenger is an individual that will be escorting the organ/ riding along to aid in organ recovery/transplant process. A participant is an individual that will need access to the collective communications happening in regards to a specific trip but may not be traveling with the organ.

To add an existing passenger click anywhere in the white space of the text box to see a list of previously added passengers. Be sure to select "Confirm and Add to Trip" when you are done. To add a new passenger select "Add New Passenger" and fill out the required fields. Be sure to select "Save Passenger" and to select "Confirm and Add to Trip" to complete the process.

To add a new participant select "Add New Participant" and fill out the required fields. Be sure to select "Save Participant" and to select "Confirm and Add to Trip" to complete the process.

Communications Channel

To navigate to our communications channel you can select the chat bubble from any in-progress trips on the "Cases" page. As well as from the "Messages" page in the main menu.

If a trip has not yet begun, the communications page will only show you the general chat room. If a trip has begun it will be connected to the UNOS id and you will be able to see it from the left hand menu along with the associated chat "rooms". As a transplant center coordinator you will be able to select from buttons to alert the appropriate teams of where you are at in the organ recovery process.

Manage Notifications and Settings

View In-App Notifications

Click the bell icon in the upper-right corner of the screen to view notifications. You can click β€œMark as Read” or β€œDelete” to remove the notification.
